Paralegal - Estate and Probate (Hybrid)
Position Overview
We are seeking a highly detail-oriented, proactive, and analytical Paralegal to support a growing estate planning and probate practice. This is a critical role within a two-attorney firm, requiring someone who can manage complex matters, think independently, and provide exceptional client service.
This position goes beyond administrative support—you will play a key role in advancing cases, supporting sophisticated planning strategies, and working directly with high net worth clients.
Key Responsibilities
- Manage probate matters from open to close, ensuring deadlines and filings are met
- Draft estate planning documents, pleadings, petitions, and related legal documents
- Assist in preparation of Federal Estate and Gift Tax Returns (Forms 706 and 709)
- Maintain and analyze asset tables, creditor tables, and financial data
- Support trust funding, including deeds, asset transfers, and ownership retitling
- Coordinate with clients, financial advisors, and other professionals
- Communicate directly with clients in a professional, empathetic, and responsive manner
- Identify missing information, anticipate next steps, and proactively move matters forward
- Assist with business succession planning, real estate transfers, and entity structuring
- Ensure accuracy, consistency, and high-quality work product across all deliverables
Qualifications
- Experience in estate planning, probate, or trust and estate administration
- Strong analytical and mathematical skills, with the ability to work with financial data and spreadsheets
- High attention to detail with a commitment to producing error-free work
- Ability to think critically, adapt to changing circumstances, and apply knowledge across matters
- Strong written and verbal communication skills
- Comfortable working with high net worth clients and sensitive information
- Ability to work independently while knowing when to seek guidance

Experience with or willingness to learn:
- Microsoft Office Suite (Excel proficiency required)

Compensation & Benefits
- Competitive compensation aligned with experience
- Billable rate target: $1,300
- 4 weeks PTO (including 6 sick days)

30 Days:
- Understand firm systems, workflows, and quality standards
- Begin completing drafting and probate tasks with accuracy
- Communicate effectively with clients on routine matters
60 Days:
- Manage portions of estate planning and probate matters independently
- Support tax return preparation and asset tracking
- Proactively identify issues and manage deadlines
90 Days:
- Independently manage complex matters with minimal oversight
- Produce polished, client-ready work
- Improve efficiency, communication, and overall client service
